Replacement Reserve Funding
Use this shared financial method for replacement allowances, usable account balances, contributions and payment dates. Supply property-specific condition, work scope, cost and timing evidence. An annual allowance, a lender-defined expense, an account deposit and an actual replacement payment are different quantities.
Also known as: Replacement Reserve Cash Schedule

Teaching amounts are assumed USD; K denotes 1,000. Actual schedules require a common currency and matching periods.
Canonical ownership reviewed October 17, 2026. The conditional methods and teaching cases below retain their stated October 7 financial scope; they do not establish engineering inputs or market reserve rates.
Annual Allowance and Cash Funding
Funding-method scope reviewed 2026-10-07: separate an underwritten reserve expense, a cash contribution to a reserve account and the eventual replacement payment. A straight-line allowance is a screening convention, not proof that the required cash will be available when work occurs or a universal lender reserve requirement.
Straight-Line Annual Allowance =
sum(Defined Component Replacement Budget / Positive Remaining Years)
State the budget's price date, included scope, units and payer. This shortcut assumes the chosen budget and horizon; it does not account for existing reserve cash, earnings, earlier repairs, inflation or contribution/payment dates. A zero or negative remaining life requires immediate condition and funding review, not division by zero or a negative allowance. Retired or replaced components must not remain in the same replacement population.
Reserve Account Cash Schedule
For a simplified end-period reserve cash schedule:
Reserve Cash_t =
Reserve Cash_(t−1) × (1 + Assumed Period Net Earnings Rate_t)
+ Cash Contribution_t
− Actual Reserve Payment_t
Match rate and period, identify fees and other account movements, and test balances at the actual payment dates. The displayed ordering earns on the opening balance and adds contributions/pays costs at period-end; other timing requires the corresponding schedule. Count replacement spending once in property cash. Funding an account and later spending those same funds are different movements, not two capital expenses. Cash restricted for another component or party is not available funding merely because it appears in an account balance.
Single-Replacement Contribution Screen
For one replacement, positive integer n years, zero reserve earnings, no intervening payments and equal year-end contributions available before the replacement payment:
Annual Cash Contribution =
max(Replacement Budget − Available Opening Reserve Cash, 0) / n
This is a conditional funding calculation, not the required underwriting expense. Excess opening cash does not imply a right to release it. If work must be paid before the final contribution, bring funding forward; annual averages do not establish intra-year liquidity. Multiple replacements need a shared cash schedule so the same opening cash is not allocated repeatedly.
Curator teaching case only: a 100K replacement due at the end of year 5, available opening cash 20K and the stated zero-earnings/no-other-payment assumptions require 16K at each year-end. Balances before payment reach 100K; the payment leaves zero. The unadjusted 100K/5 allowance gives 20K annually and leaves 20K after payment under these different funding assumptions. Separately assuming a 120K payment budget gives 20K annual contributions. If the 100K payment is due now, the immediate gap is 80K; there is no five-year funding horizon. These are arithmetic assumptions, not cost, useful-life or reserve-policy benchmarks.
Payment Dates and Available Balances
Additional hypothetical timing check, USD: retain the 100K payment, 20K usable opening cash and 16K annual contributions. If the replacement must be paid before the fifth contribution arrives, only 84K is available from opening cash and the first four contributions. The payment-date gap is 16K, even though five years of scheduled contributions cover the total. Bring available funding forward or revise the complete cash path under actual terms; the example does not establish a right to bridge financing or release restricted cash.
If the opening 20K is instead unavailable for this replacement, the zero-earnings single-replacement screen uses zero usable opening cash and gives 20K annual contributions. The account's reported balance and the amount actually usable for a specific obligation can differ. A negative modeled balance identifies a funding gap, not an assumed authorized overdraft. Review each complete stress path and the actual sequence of receipts, contributions, approvals and payments.

Use Property Cash Flow Reconciliation to distinguish cash after actual property payments, net cash across owned accounts and unrestricted-account movements. Reserve contributions and the same funded work do not enter total external spending twice.
Sensitivity and Scenario Analysis owns the separate whole-path liquidity screen. Its minimum upfront funding amount is not the same as this account's annual contribution. Reconcile account transfers, external payments and restrictions once for the selected entity and cash view.
Use CRE Valuation Methodologies for budget, commitment and funding boundaries. CRE CapEx Risk Analysis, Industrial CapEx and Physical Risk Underwriting, Office CapEx Risk Analysis and Multifamily CapEx Budgeting own their component and sector inputs. The shared cash equations do not certify a remaining life, replacement price, hold-period rule or engineering condition.
The Texas Public-Entity Property Tax Exemption Underwriting application separates tax-related operating changes from an internal contribution to an included owned account. The same deposit is not another external cost, and a restricted balance does not establish sponsor distribution rights.
